Who we are

We are Climbridge, a climbing club based in Cambridge, UK. Our website address is: https://climbridge.co.uk.

What personal data we collect and why we collect it

In the general browsing of this site no personal data is collected. Data will be collected if you use the contact form, sign up to our newsletter, register or attempt to log in to a user account (only committee members have accounts) or join our Google Group to enable RSVPing to events. Please see the relevant sections below regarding the data they collect.

Contact form

If you use the contact form we will collect your name, email address and any message. This will be sent to the Climbridge secretary and webmaster and then forwarded to any other committee members as necessary. The form uses v3 reCAPTCHA to protect the form from spam, as a result privacy policies relating this service also apply.

Newsletter

If you choose to sign up to our newsletter, we will store your name and email address. This is to allow us to identify and personalise emails to you. To unsubscribe, click the link in a recent newsletter or use the contact us page to request us to manually unsubscribe you. The newsletter registration form uses CAPTCHA to protect the form from spam, as a result privacy policies relating this service also apply.

Google Groups

We use Google Groups to facilitate RSVPing to calendar events, general privacy policies relating to the use of this service therefore apply. Only the club Secretary, Treasurer & Webmaster can see the members of these groups.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

To protect against DDOS attacks, your IP address and browser information might be processed by the security plugins installed on this site when you submit a login request.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

How long we retain your data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Website administration accounts all use 2FA to protect your data against password breaches. Access to administration tools that expose personal data (such as email addresses and names) is limited to the club Secretary, Treasurer and Webmaster.


Climbridge WhatsApp Community Privacy Policy

Climbridge operates a WhatsApp community, this is subject to the standard privacy policies detailed by WhatsApp here. In addition to the general WhatsApp policy, the following terms apply to enable us to add you to the WhatsApp community. We do this by means of a form request to protect the group from spam attacks.

What personal data we collect and why we collect it

To allow us to verify and action a WhatsApp community addition we require your name and mobile phone number.

How your data is stored

The WhatsApp community join request uses a Google Form. To send the WhatsApp invite, the club Secretary, Treasurer or Webmaster must temporarily add you as a 'device only' phone contact. Once the WhatsApp invite request has been processed the contact entry and the form submission data is deleted.

Who we share your data with

We share you mobile phone number with WhatsApp to add you to the Climbridge Community. By joining the community you will be visible to fellow community members in accordance with WhatsApp privacy policies.

How long we retain your data

Once the WhatsApp invite request has been processed the contact entry and the form submission data is deleted. Data retention is then in accordance with WhatsApp privacy policies.

What rights you have over your data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Climbridge takes the privacy of its members data seriously.  Only the club Secretary, Treasurer and Webmaster will be able to access your details.


Club Membership Privacy Policy

The following privacy policy applies for club members. As a BMC-affiliated club, members are automatically enrolled with the British Mountaineering Council (BMC) to provide combined liability insurance to both the member and the club. More information about the how the BMC uses your data can be found here.

At registration to join the club we collect the following data:

How your data is stored

The membership request submission uses a Google Form, feeding the data into a Google Sheet. Membership data is stored in a Google Sheet and within the BMC club membership portal, MSO.

In addition, we add all members to a Google Group. This allows us to limit calendar RSVPs to current members only for club trips.

Who we share your data with

As a BMC-affiliated club we will provide your name, contact details and date of birth to the BMC to administer your membership of the BMC including your combined liability insurance cover. The BMC will use your data to communicate with you about your membership. The BMC will contact you to invite you to create a ‘Member Profile’ which, amongst other things, allows you to set and amend your privacy settings. We will never share or sell your data without your prior permission.

How long we retain your data

We will retain your data for the duration of your time as a member. If you wish to relinquish your membership, please use the Membership Modification or Termination form to begin this process.

If data is shared with a trip organiser, this copy of the data will be deleted once the trip is complete.

What rights you have over your data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

We ask that you keep us up to date with any changes to the data your provided, to do this please use the Membership Modification or Termination form to begin this process.

How we protect your data

Climbridge takes the privacy of its members data seriously.  Only the club Secretary, Treasurer and Webmaster will be able to access your details.

Before the commencement of an event that you are attending (if supplied) a copy of your email, mobile phone number and any emergency contact details will be provided to the trip organiser. This copy of the data will be deleted once the trip is complete. Emergency contact data is only to be used in an emergency.
